With Penneo, you can safely send cases out, even with private information in the documents. However, there are some choices to make in order to set the right degree of restriction on what you send.
Mainly, there are two ways to limit the recipient's access to a documents content:
1) Who can read and sign the document (both before and after it is signed)
2) Who should/can sign, (no matter who opened it)
(Current Settings: below picture shows Penneo's Desktop Application, when sending a document)
There are up to 6 different combinations for restricted access to the content/document (s):
1. Limitations: none
a. Thus, no extra fields are filled in and no marked boxes either.
i. Any recipient can both view / read and sign the document.
2. Limitations: Private
a. Check off the field that says private
i. Only a recipient with an eID is allowed to view / read the document.
3. Limitations: Social security number
a. You enter the recipient's social security number in the field for this action.
i. Only the specific eID that can verify the social security number get to signed. However, any recipient will be able to view/read the document.
4. Limitation: Private + Social security number
a. This is a combination of 2 + 3.
i. The copy receiver -feature is still usable, and both sender and signer (s) receive an email at the end with the documents attached.
5. Limitation: Sensitive + eID
a. Like 2, but the email at last, with info that the case is completed signed, is without the documents attached, but with a link to the recipient archive, where all signed documents can be found by logging in with (the same) eID.
6. Limitation: Sensitive + eID + Personal ID
a. The same as 4 + 5.
